Travel Planner
Run business travel like a project — every trip a board, every booking a card, every traveller a profile.
Travel Planner is a project-management-style workspace for organising business and personal travel from request to completed itinerary. Travel managers, EAs and anyone arranging trips for colleagues reach for it.
What you can do
- Raise a travel request for any traveller — a team member, customer, supplier or contact — and watch it move through a Kanban pipeline from triage to booking to complete.
- Build multi-leg itineraries (flight, train, coach, taxi transfer, ferry) and break each trip into task cards: flight search, hotel, visa research, passport check, insurance and more.
- Keep traveller profiles with passport details, nationality, expiry dates, seat and meal preferences, frequent-flyer and loyalty numbers.
- Get passport and visa intelligence — expiry alerts before travel, visa requirements by nationality and destination, and insurance coverage checks.
- Track where team members are on a travel map, route requests for approval, and report on travel spend by traveller, event, destination, airline or budget code.
How to use it
An administrator switches Travel Planner on from Settings → Apps. Once enabled, it appears in your main navigation alongside Travel Profiles and the Travel Tracker.
Start by raising a request: name who is travelling, describe the journey (or add structured legs), and the planner derives the destination, dates and the task cards needed — adding passport and visa cards only for international legs. Work each card to "done", send a request up for approval where policy requires it, and let profiles carry a traveller's preferences forward so you never re-enter passport details.
Working with your agent
Hand a whole trip to your agent: it can find the traveller, create the request, check passports and visas, and pull flight, hotel and transfer options for each card.
You: "Plan a three-day trip to Berlin for Jane next month and check her passport is valid"
Agent: Creates the request, builds the itinerary cards, and flags any passport or visa issues.
How it fits
Travel Planner reads travellers from Contacts and links trips to your calendar and events. Its task cards search across whichever booking apps you have installed — Flights & Stays and Expedia — and your agent can drive the entire pipeline for you.
Tip. Fill in a traveller's profile once — passport expiry, nationality and home airport — and every future request inherits it, so visa and validity checks run automatically.
